How to Plan Guest Transport for a Wedding, Toi or Corporate Event

Where to start: the guest list and meeting points

Planning starts not with vehicles but with the guest list. You need to know who would otherwise take public transport, who doesn’t have a car, and who is coming from another city or flying in. The answers decide where the meeting point will be, how many trips you’ll need and what the route will look like.

Group your guests by Almaty district. Set one clear meeting point per trip instead of picking people up from a dozen different addresses — that makes the timing simpler, and the vehicle doesn’t wind all over the city.

• How many guests really don’t have their own car
• Who is coming from other cities or flying in — they need an airport transfer
• One convenient meeting point per trip instead of a dozen addresses

How many minibuses you need for a wedding: counting seats

This is the key question. A Toyota Hiace minibus seats 13 people, and it’s worth counting with a small buffer of one or two seats — someone will bring a plus-one, someone a child. Better to plan a spare seat than leave a guest without a ride.

A simple rule based on the number of guests without their own car:

• Up to 13 seats including the buffer — one minibus
• 14 to 26 guests — two back-to-back trips by one vehicle, or a partner’s minibus on your date
• More than 26 guests — we’ll tell you honestly right away: you need a company with a big bus; we don’t have a fleet

Back-to-back trips or several vehicles

Two back-to-back trips means one vehicle makes two runs. It’s cheaper but needs spare time, and it works if the meeting point is close to the restaurant and there’s an hour or an hour and a half before the banquet starts. When the schedule is tight, a second vehicle from a partner on the same date is more reliable: both groups leave at the same time.

A big wedding or toi for 60 or more people needs a company with a big bus or several vehicles; in that setup our Hiace can take one of the groups — it’s more maneuverable than a big bus in Almaty’s busy center and gets into restaurants with narrow driveways more easily.

When to send the vehicle: timing and Almaty traffic

In Almaty, timing is almost everything because of traffic — especially at rush hour and in the city center. The vehicle should be at the meeting point 15 minutes before departure, and you should allow extra time for every leg. It’s better to arrive early and wait than to keep guests waiting and be late for the registry office.

A typical wedding-day schedule looks like this:

• Arrival at the guests’ meeting point — 15 minutes before departure
• Guests board and head to the Wedding Palace (registry office)
• The drive to the photo shoot — Kok-Tobe, Medeu, a park or the Botanical Garden
• Getting guests to the restaurant for the start of the banquet
• Taking guests back to the meeting point after the celebration

The guests’ route around Almaty and the ride back

The most common slip is forgetting about the ride back after the banquet. Guests are tired, a taxi at night takes a long time to arrive and costs a lot, and a large group won’t get home quickly. At the end of the evening the minibus takes guests to one agreed point, and if there are more than 13 guests, in two trips or together with a partner’s vehicle; this part of the logistics is needed almost every time.

Corporate event transfers and staff transport

For a company, the task is different — you need predictability and paperwork. Staff transport to a corporate event, or a transfer to a team-building day or conference, is built around a fixed route and an exact pickup time. The minibus picks the team up right at the office and takes everyone as one group, so nobody is late and nobody drives alone in their own car.

Out-of-town corporate events near Almaty are popular — at the Shymbulak, Tabagan and Ak-Bulak ski resorts, and at the resorts on Kapchagay Reservoir. It’s convenient to get there as one group in a minibus rather than as a convoy of private cars. What usually matters to companies:

• Payment by bank transfer, a contract and an invoice made out to the company
• Closing documents for accounting
• A fixed route and pickup time
• One driver and one vehicle for the whole day
• Regular scheduled staff transport

What’s included and what the price depends on

As a benchmark: from 30,000 ₸ for 3 hours, from 50,000 ₸ for 5–6 hours and from 80,000 ₸ for a full day — for the whole minibus (details on our wedding transfer page); we give an exact amount for each specific booking, because a lot depends on the details. The price depends on:

• Number of trips — one, two back to back, or a partner’s second vehicle
• Duration: pickup, waiting between stops and the ride back at night
• Route — within the city or out of town
• Date: there’s no wedding surcharge, but in peak wedding season, in summer and fall, people book early
• Payment method — cash, or bank transfer with paperwork for a company
